Resides at the conference location and closely cooperates with EAI Venue Manager in order to provide local logistical support for the conference.

Recommended steps:

1. Main logistical support:

  • Helps identify possible venues, facilitates communication with these and supplies Venue Manager with expense details
  • Makes site inspection of the venue and is responsible for contact with the chosen venue throughout the planning process and the conference
  • Helps identify catering options and Gala dinner venue

2. In order to promote the conference:

  • Helps with dissemination through the local channels, local academic and research institutions
  • Assists the Sponsorship and General Chairs with approaching local sponsors
  • Arranges high-quality Social program

3. In order to address the needs of accepted authors:

  • Supplies the Web Chair with venue and travel information for the website
  • Issues Invitation Letters for Visa purposes to registered authors

4. Final venue arrangements:

  • Arranges set-up of the registration desk on-site
  • Ensures logistical arrangements at the venue – audio-visual equipment, direction signs, internet connection credentials, etc.
  • Coordinates on-site activity of volunteers and ensures smooth flow of the conference
